In this Activity, you will learn more about the basic command ribbon in Excel and the terminology (vocabulary) of Excel or spreadsheet. Are there any of the commands that you do not know?

Instructions:

  • Open up the Ribbon Excel workbook (How?)
  • Save the Workbook under your name (File → Save as  → 1LS-yourname.xlsx) in your POE folder. The part behind the file name tells us that it is an Excel spreadsheet (.xlsx)
  • The facilitators will introduce you to the terminology using body language 👀
  • Challenge: Go through all the buttons to see what they can do and demonstrate it using body language when asked

In this exercise, you will construct a shape and find your way around an Excel spreadsheet. So get your groove on with rows, columns, cells, and more! The facilitator will yell out the spreadsheet cell locations (what is a row, column and cell?) for you to colour in (red- how? )

  • Open up an Excel workbook (How?)
  • Save the spreadsheet under your name (File → Save as  → 2LS-yourname.xlsx) The part behind the file name tells us that it is an Excel spreadsheet (.xlsx)
  • Are we ready? Let's go!
  • Highlight columns B all the way to K and drag the column line on top so that the cells between B and K are all square. (How?)
  • Colour in all the following cells (red): Work on your own or follow the facilitator's callouts
    • F5, H8, G4, E8, C6, C7, E5, E9, F6, H7, F4, D8, D5, E8, I6, E6, E4, H4, C5, D6, I5, G7, H6, G3, D7, E7, H5, E3, I7, F7, G6, F9, G9, F8, F10, G5, D4, G8
  • Draw a nice thick frame around the shape (Highlight the shape → Click on and pick borders in the ribbon
  • Merge B1-K1 and insert the following phrase: My name is ..... and My shape is a ….
  • As the text will not fit, wrap the text and drag row 1 to (50 pixels in height) until you can see all your typing.
  • First to tell your Facilitator your shape wins a prize!!
    • Save it in your G-Drive folder with the file name
      2LS-Shape_Yourname.xlsx (e.g. 2LS-Shape_PietVerster.xlsx.)
    • Create an email. Ensure that you use the appropriate formal email etiquette.
    •  Attach your LS-Shape excell sheet document (How?)
    • Send the email to: Kim Campbell (kimc@kilt.org.za) and cc Maggie (maggiev@kilt.org.za) (What does CC and BCC mean?)

Instructions:

  • (Log in to your Gmail account on your station to complete the following activity)
  • Make a copy of the spreadsheet. (You'll need to sign in with your Google account.)
  • Compare the differences between Excel and Google Sheets. Are they the same? How are they different?
  • Delete the contents of the two completed/specified columns. (Highlight--> drag --> DEL)
  • Use the button names and descriptions from the list below to complete your spreadsheet, then upload it. (Copy and paste the button and description columns)

SpreadsheetA grid with columns and rows
Quick-access-toolbarContains buttons for a set of commands. It allows you to keep all frequently used commands in one place for easy access.
RibbonProvides a visual interface for accessing various commands and features. It is consists of multiple tabs, each containing related groups of commands.
ColumnA vertical(down) line of data. We use letters for the heading A, B C D E....
RowA horizontal line (sideways) of data. We use numbers for the
CellThe space where a row and a column meet
Cell-referenceThe exact location for the cell using the row and column references eg B8 (Column B and Row 8)
Address-barDisplay the address of the active cell or selected cell in the Excel worksheet. If you select more than one cell, then it will display the first cell address in that range chosen.
Formula-barThe formula bar in Excel displays the content or formula of the active cell. You can use the formula bar to enter or edit the formulas.
Title-barThe title bar displays the workbook’s name along with the application name Microsoft Excel
WorksheetCollection of cells.
WorkbookA collection of worksheets. By default, a workbook will have 3 worksheets named sheet 1, sheet 2 & sheet 3.
Worksheet-tabWorksheet tabs all the worksheets that are available in the workbook. By default, a workbook will have 3 worksheets named sheet 1, sheet 2 & sheet 3. You can add or delete worksheets as per your requirement in a workbook.
CutRemoves the selected cell content to move it elsewhere. (CTRL-X)
CopyCopy formatting from one place to another.
PasteInserts content that was cut or copied. (CTRL-V)
Format-PainterCopies formatting from one place to another.
BoldMakes text bold. (darker) (CTRL-B)
ItalicSlants text to the right. (CTRL-I)
UnderlineAdds a line under the text. (CTRL-U)
Font-ColorChanges the color of the text.
Fill-ColorAdds background color to a cell.
BordersAdds or removes cell borders.
Sort-&-FilterSorts data or filters it based on criteria.
Conditional-FormattingHighlights cells based on rules.
Insert/DeleteAdds or removes rows or columns.
AutoSumQuickly adds up numbers in a column or row.

Your facilitator will show you how you can look at all the happy data in a spreadsheet where you can sort it alphabetically by name or by date.
